Client approval portal: get social media posts approved with a link

The VonaHub client approval portal is a feature that sends an agency's monthly social media calendar to the client through a single link with no sign-up, and lets the client preview every post on their phone and approve it or request changes. An approved post is scheduled automatically when its date is in the future and an account is connected. No more screenshots in WhatsApp or files over email.

In short

  • Clients don't create an account: a link (with an optional PIN) is enough.
  • Posts appear in Instagram, Facebook and LinkedIn phone previews; Reels play inside the portal.
  • Approve one by one or everything at once with "Approve all".
  • Revision requests are structured: scope, preset directions and on-image markers.
  • Approved posts go straight into the publishing schedule.

The problem

Sound familiar?

  • Screenshots get lost in WhatsApp groups and nobody knows which version was approved.
  • Vague feedback like "make it pop" sends the same visual back three times.
  • Re-scheduling posts by hand after the client approves wastes time.
  • Clients can't see how a post will look on Instagram before approving it.

How it works

In 4 steps

  1. 01

    Share the calendar

Click "Share" on the calendar. Optionally set a PIN, then copy the link or send it straight to WhatsApp.

  2. 02

The client reviews on their phone

The client opens the link and sees the month's posts as a feed, calendar, grid or list, with real platform previews.

  3. 03

    Approve or request changes

Each post has "Approve" and "Request changes". The client picks whether the image or the text should change, selects a preset direction and can pin notes on the image.

  4. 04

Approved posts go live on schedule

Approved posts are scheduled automatically. Change requests land on your team's approvals screen and can be regenerated from the feedback in one click.

Capabilities

What you can do

Real platform previews

Posts appear as they will be published: feed, carousel, Reels or story. Reels and videos play in the portal with their cover frame.

On-image markers

Clients can drop up to 3 markers on the image, each with a short note, so feedback like "bigger logo" points to the exact spot.

Preset revision directions

Ten presets — color, composition, style, scene, shorter, longer, warmer, more formal, stronger call to action and fix information — cut down vague feedback.

Approve all

Clients can approve every pending post of the month with one tap; a progress bar shows how many are approved.

Auto-scheduling on approval

An approved post is scheduled when its date is in the future and its account is connected; otherwise it waits as approved and your team is notified.

PIN and privacy

Links can be protected with a PIN and are hidden from search engines; you can revoke a link and create a new one at any time.

FAQ

Frequently asked questions

Does my client need a VonaHub account?

No. Your client only opens the link you share. You can protect the link with a PIN and send the PIN separately.

Do I have to schedule a post again after the client approves it?

No. If the post's date is in the future and its publishing account is connected, it is scheduled the moment it is approved. If the date has passed or no account is connected, it waits as approved and your team is notified.

Can clients watch Reels and videos in the portal?

Yes. Reels and videos are shown in a vertical frame with the cover image you chose or the frame you picked from the video, and clients can play them before approving.

How does the client request changes?

With "Request changes" the client chooses image, text or both, ticks up to two preset directions, can pin up to 3 notes on the image and add a free-text comment. The request lands on your team's approvals screen.

Is the portal visible in search engines?

No. Approval portal pages are excluded from search engines (noindex); only people with the link can open them.
