Instagram scheduling: plan posts, carousels, Reels and Stories

VonaHub Instagram scheduling is a feature that lets you prepare feed posts, carousels, Reels and Stories in one calendar, schedule them for a future date and check every post against Instagram's rules before it goes out. The format is suggested from your media and the preview follows the format you pick. A media file that won't work is caught while you plan, not at publishing time.

In short

  • A publishing format per post: Feed, Carousel (2-10 items), Reels or Story.
  • The format is suggested automatically from your media; you can change it.
  • Aspect ratio, caption length and hashtag count are checked before publishing.
  • Upload a Reels cover image or pick the frame at any second of the video.
  • Drag-and-drop calendar, client approval portal and inbox in one place.

The problem

Sound familiar?

  • An image in a ratio Instagram rejects fails at publishing time and the post never goes out.
  • Reels go live with a random frame as the cover and the profile grid looks messy.
  • Carousels, Reels and Stories need separate tools or manual posting from a phone.
  • Clients can't see how a post will look on Instagram before it is published.

How it works

In 4 steps

  1. 01

    Connect your Instagram account

Connect your Instagram professional account (Business or Creator) to VonaHub. From then on, posts are scheduled straight to that account.

  2. 02

Create the post and pick a format

Upload an image or video and write the caption. VonaHub looks at the media and suggests Feed, Carousel, Reels or Story; you can switch with one click.

  3. 03

    Check the preview and validation

The preview changes with the format; Reels and Stories appear in a 9:16 vertical frame. If a ratio, caption or hashtag limit is exceeded, you get a clear message.

  4. 04

Place it on the calendar and schedule

Drag the post to the day you want and set the time. Optionally send it through the client approval portal first; approved posts enter the publishing schedule.

Capabilities

What you can do

Four publishing formats

Feed (single image), Carousel (2-10 items), Reels (single video) and Story (single item). The format is chosen per post, and all of them sit side by side on one calendar.

Pre-publish media checks

Feed and carousel items must have an aspect ratio between 0.75 and 1.91. Media that doesn't fit is stopped before publishing and a better format is suggested, such as "Use Reels" for a vertical video.

Reels cover

Upload a cover image or pick the frame at any second of the video; if both are set, the cover image wins. Changing the cover does not reset the client's approval.

Format-aware preview

The preview follows how the post will appear on Instagram: a feed post, a swipeable carousel or a 9:16 Reels and Story frame.

Instagram-ready images

AI-generated images are created directly in a 4:5 portrait format for Instagram. PNG and WebP images are converted to a compatible format (JPEG) automatically when published.

Calendar, approval and inbox together

Move posts with drag and drop, send them to clients through the approval portal, and answer DMs and comments in the inbox on the same dashboard.

FAQ

Frequently asked questions

How do I schedule an Instagram post?

Connect your Instagram professional account, create the post, choose its format and set a date and time on the calendar. VonaHub publishes it to your account at that time; you don't need to open your phone.

Can I schedule Instagram Reels?

Yes. Upload a single video and choose Reels as the format, and the post is scheduled as a Reel. Videos can be up to 95 MB in MP4, MOV or WebM.

How do I choose a Reels cover photo?

On a Reels post you either upload a separate cover image or pick a second in the video and use that frame as the cover. If both are set, the cover image is used. Changing the cover later does not reset the client's approval.

How many images can an Instagram carousel have?

A carousel can have 2 to 10 items. Each item must have an aspect ratio between 0.75 and 1.91; if one doesn't fit, the post is stopped before publishing with a clear message.

Can I schedule Instagram Stories?

Yes. Choose Story as the format and a single image or video is scheduled as a Story. The preview is shown in a 9:16 vertical frame.

Can I use a personal Instagram account?

No. Scheduled publishing requires an Instagram professional account (Business or Creator). You can switch a personal account to a professional one for free in Instagram's settings.
